EIN-SOF SUCCESSFULLY IMPLEMENTED ERDMS FOR THE STATE ADMINISTRATION IN MACEDONIA

We are delighted to announce that our company successfully implemented an integrated Electronic Records and Document Management System (ERDMS) in order to automate the workflow and monitoring of the documentation flow in the process of its adoption and approval with establishing an infrastructure for efficient management of all administrative processes involving documentation – an infrastructure based on and incorporating all existing standards and processes.

As a result of this initiative of the Government of the Republic of Macedonia and Ministry of Information Society, all civil servants are able to electronically create and manage all types of documents, including conversion of hard copies into electronic documents and their further electronic processing.
The project started in January 2009 and ended in mid-December 2009, when the developed processes were delivered.

Short project overview and project deliverables:

• 15 Ministries and 5 institutions were included in the project
• 50 presentations were made for getting better acquainted with the system
• 120 meetings were organized and realized
• 511 visio diagrams were prepared, describing the processes and its steps
• 200 reports were made
• 511 work processes were developed
• 20 organizational schemes were integrated
• Complete customization and translation of user documentum interface
• Module for archive and registry work was developed and implemented, in accordance with the valid legal regulations in the Republic of Macedonia
• Training of administrators and end users.

ERDMS will serve the whole state administration ensuring minimal use of paper documents and ready access electronically to all relevant information. The documents may be viewed by many people at one time regardless of their physical location.
